Manual Data Entry vs. Automated Indexing
The indexing process is automated whenever possible but data may need to be manually entered based on the requirements of our clients where double key validation is used to ensure the highest degree of accuracy. Automation is accomplished by using barcodes or optical character recognition (OCR) for zonal or full-text search.
- Optical Character Recognition: automatically extracts machine readable text from documents either from specific portions or zones within each document or on a full-text basis
- Barcodes: a highly accurate way to get index fields populated with information that automatically identifies information for individual or batches of files that can carry only the type of document, the file name and/or large amounts of metadata with more categorization information
- Double Key Validation: the process of data being automatically verified with software when being entered by two individuals simultaneously; in the event of a mismatch, our operators are prompted to re-enter the data until there is a match
